In the pack: ChatGPT, Claude & Gemini Prompts for Customer Service Teams
Live Chat Replies That Don't Read Like Email
Prompt
The chat so far (personal details removed): {{CHAT_TRANSCRIPT}}
The answer or fix, as I'd explain it in an email: {{ANSWER_CONTENT}}
How many chats I'm handling at once: {{CONCURRENT_CHATS}}
Do this:
1. Break my answer into 2-4 short chat messages of no more than two sentences each, in the order I should send them. After any step the customer has to do, add a natural check-in question ("Can you see that menu now?").
2. Give me a holding message I can send in under five seconds if I need time to look something up, saying roughly how long I'll be.
3. Suggest one quick reply for each likely response: it worked, it didn't, or they're confused.
4. If the chat should move to email or a call (because it needs logs, a refund approval or a long investigation), write the handoff message, setting expectations on timing.
5. Write a closing message that confirms the outcome and doesn't push the survey too hard.
Rules: plain, friendly language; don't repeat the greeting mid-chat; no walls of text. Don't add facts that aren't in my answer. If I'm handling three or more chats, keep every message under 25 words.
