Complaint Acknowledgement Letter

Write a letter of about 250 words that: thanks them for raising the concern; confirms we have received it and what happens next; gives realistic timescales exactly as in my policy; explains how to add information or get support; and avoids defending, blaming or promising an outcome. Use a warm, respectful voice with [COMPLAINANT NAME] and [DATE] placeholders.

Do not state any facts about the complaint or any clinical matter; mark clinical content [CLINICIAN REVIEW]. If my policy timescales are missing, mark [CONFIRM]. Tell me which statutory complaint rules I should verify locally.

Give the letter a subject line with a reference placeholder [REFERENCE]. Offer to talk by phone and to send information in another format.

Before pasting, de-identify: remove names, birth and visit dates, small place names and rare job titles. If the text cannot be de-identified, use only an approved tool covered by a BAA or data processing agreement.
