Turn a Repeated Task Into a Checklist You Can Reuse
Prompt
Task name and when it happens: {{TASK_NAME}}
How I do it now, described in my own rough words: {{CURRENT_PROCESS}}
Tools and accounts involved: {{TOOLS}}
Mistakes or delays that have happened before: {{PAST_ISSUES}}
Who might do this in future (me only, a virtual assistant, a subcontractor): {{WHO_DOES_IT}}
Produce:
1. A numbered checklist with each step starting with a verb, with the tool or place for each step and a "done when" test for the tricky ones.
2. A list of decisions that need judgement, with the rule of thumb I appear to use, for me to confirm.
3. Three checkpoints that catch the past issues I listed.
4. A shorter "quick version" of five lines.
5. A list of what must never be shared with an assistant or subcontractor (passwords, client confidential data), and a safer way to give access, with a reminder to check client agreements before sharing any client information.
Rules: do not add steps I did not describe unless clearly marked as a suggestion. If my description has gaps, list questions at the end.
Output: the checklist, decisions, checkpoints, quick version, access note, then questions.
